How to Create and Edit Saved Prompts

How to use preset prompts or save prompts for future use.

Written by Eloy Wijlhuizen

A saved prompt stores instructions you want to reuse. Write it so you can adapt the details and select the right sources each time.

Open Your Saved Prompts

From a chat, select Add to prompt and choose Prompts. Select Yours to find your personal prompts.

Open Customise → Prompts → Yours to manage your saved prompts outside a chat.

Create a Saved Prompt

Open the New prompt editor from either location:

  • In the chat’s Prompts, select Add new.

  • In Customise, select Add new → Create prompt.

Then complete the saved prompt:

  1. Enter a Name and the reusable text in Prompt.

  2. Add a Description (optional) if it helps you identify the prompt. Under Run settings, you can choose Language (optional).

  3. Choose whether the prompt should be available in Chat, the Word Add-In, or both.

  4. If the prompt needs documents, review Require documents, Minimum documents, and Maximum documents. Keep the minimum and maximum consistent.

  5. Select Create prompt. Check that the saved prompt appears under Yours in the Prompt Library.

For example, save a prompt that asks for action items from meeting notes. Leave task-specific dates or names to fill in when you use it.

Document counts describe the prompt’s expected inputs. They do not attach files for you. Check the files selected for each task before sending the prompt.

Edit Your Saved Prompt

Open your personal prompts through either route above and select the prompt. Select Preset actions and choose Edit preset. In Edit prompt, make your changes and select Save changes. Select Cancel to leave the editor without saving your changes.

If an edit action is unavailable, check that you opened your own prompt. Other library scopes can have different permissions.

If a save reports an error, keep a copy of your prompt and check whether it appears under Yours before creating another copy.

Use or Share It

Apply the saved prompt from the message box using the Prompt Library. Review and adapt the text before sending; saving a prompt does not run a task.

For sharing steps and permission limits, see How to Share a Saved Prompt With Your Organisation.
